5 ways how destinations can be incorporated into a hybrid event

Published: 15 July 2022

Hybrid events are here to stay and for many associations now part of their events portfolio.
Creating rich and engaging experiences for the in-person and online audience is key and the destination where the event takes place oftentimes contribute to this. Bringing the local culture or other highlights, the city or country would like to present, closer to the onsite participants is easy but how can the remote audience get a taste of the destination?

Here are 5 ideas:
1)    Branding

To give the virtual event platform a local touch, adapt the branding accordingly, add typical pattern or colours from the destination.

2)    Music

Every country has typical music. Use music from the country and play it before and after the sessions and during breaks.

3)    Food boxes

To literally give remote attendees a taste of the destination, why not sending them some local specialties, such as coffee or chocolate. You can also ask them to keep it closed until everyone opens it at the same time. That increases the feeling of togetherness and excitement. If it’s logistically not feasible, you can also provide recipes to the attendees and ask them to cook it and share a photo on social media.

4)    Local moderator

Hybrid events require event planners to think like live TV producers to create a compelling experience for the remote attendees. A dedicated moderator to address them from the onsite venue adds immense value. If the person lives in that city or country, they can tell stories and inform about the destination.

5)    Gamification

Including gamifications such as games using Engamio or raffles are great ways to not only promote sponsors but also the destinations. What about giving away a free trip or a different local gift?

With some creativity it’s possible that destinations provide a lasting memory even for virtual participants.  Try it out!
